Trouble importing Data feeds in to Online shop.
The database is in CSV as is the tab on the Yola shop builder but for some reason keeps coming up with errors such as you have selected 14 but there is only one etc..
I know this may make no sense as its the first time i have a built a shop so please bare with me and help anyway you can.

Hi John,

Can you take a screen shot of the Import table setup and post a copy or segment f your CSV file. From those I can see what may need to be adjusted.

From your description I think that it is possible that you haven't selected the correct delimeter in the Online Store import table configuration. In other words it is only seeing 1 field per record per line instead of 14 fields per record (ie:per line).

Just check that you have selected the delimeter as a "comma" and that your file is a CSV file and not a TSV file (Tab Separated Variables).

This is reasonably common if you have imported a file from another application and if this is the case then you would need to specify that delimeter in your Table configuration.

Ok I'll take this in steps:

Looking at your spreadsheet I see 11 fields there. Here's the breakdown

Cat ID: Column A: Not required
Category name: Colum B: required. (but needs to be modified to take out extraneous data)
SKU: Column C: required (I think that this is an important demographic as it links your store prod to the suppliers product without ambiguity)
Product Name: Colum D Not required (covered by Col K)
Price: Column E: required (also need to specify the decimal points if in USD or Euro or GBP)
Cost: Column F: Not required
Image: Column G: required (also need the image URL to auto upload)
product supplier URL: Colum H: not required.
Product weight: Column I required
Product Description: Colum J required
Product name: Colum K: required

You need to do a bit of house keeping before you can use this data. This is always the case with drop-shippers data. Please format the price column into your used currency with the correct decimals.

You need to fin where the images are resident or their storage URL. easiest way is to find an image on their website, right click and copy the URL. The image name should match the one on the spreadsheet. The address details before the image name will be the information you need. so it will be http:// dropshipwhatever.com/something here/image name.jpg as an example. you only need to check three or four of these as I would think that they would all reside in the one location.

The categry name has excess information which you wouldn't want to display to customers as it will be a distraction. You need to remove this excess info

Going back up to your Store imprtn config table:

You need to un-check any unused fields.

You also need to organise the Field names in the exact order of the Excel file

If there are fields in the Excel file that match nothing then you can simply delete these columns from the excel file and save it as a copy of the file. that way you have a working file plus your original to fall back on.

So that table would look like:

Category 1
SKU
Price
Image URL
Weight
Description
Name

And the Table titles need to be ordered exactly as shown. Any extraneous can be dragged to the bottom and unchecked.

the listed headings need to be checked.

Check your Excel file and create a CSV file. keep record of the name.

OK you should be ready to go.

Try an upload.

Don't be disheartened if it bombs out because as you see there is a great amount of config and it is common for most to hit a few errors on the way until it's smoothed.

Once it works it's bliss. I have added 8000 items from a dropshipper by this method and it really only takes about 20 minutes to upload. Then it's essentially ready to go on to the next step of looking at the way you want it to display.

If you like you can send your Excel sheet over to me and I can set it out for the upload and return it to you. You can then compare your work against another as a learning aid. If you prefer you could upload it to Google Docs and give me access. Then you can access it easily at the same time. Your choice.

Once again thank you to all of you........ I have followed procedure and turned it in to a CSV file from xls and also sorted out the correct field names as you mentioned Gop so thank you.

Unfortunatly i got error again but only because the name is 256 symbols and not 255 lol..... I have enclosed the screen shot of error and my revised xls (csv) Document to see if i have done it right :)

Ok Excellent work.

To fix this please do a "replace" action in excel.

Replace: Latin name :
with:

Make sure that you highlight the relevant column only otherwise it will go through your complete sheet

This should remove the additional unnecessary characters from that title.



Or do you mean the CSV file name ?

I would also take out the category ID from your sheet (Col A) as it is not needed at all and simply is just additional data.

I've checked out the image data and it's in a huge zip file. I'm working on it and will be back to you with instructions if you wish.

Finally: How many products do you wish to upload? Yola have a max of 1000 products and you need to contact them to ask for an extension of the allowable number if you wish to go beyond this.

This can also cause your upload to fail I think?

Yes it failed again as the name value exceeds 255.
The name not description further down which i did not take a screen shot of has a long name!!
Does this mean that i need to manually go through each name and cut it shorten it :-/?

By the way its only failing on the name part as i can see and yes there would be more than 1000 products.... More like 2200 i would say!!

What is the name that is causing the problem. I can't open the link to Google Docs so can't see :)

Is it the Excel filename? If so just rename it to essential oils.csv or similar.

You will need to communicate with Yola and ask hem to increase your Store product limit to say 5,000 or 10,000 products. Just shoot off an email to support@yola.com.

The thing with upload fails is that it will only display the first error that it comes across and not all errors at once. This can be frustrating but is a good chance to chip away one by one and not to become disheartened by it.

Its the name of the product as in the last line G, Here is the snapshot of just 3 of the names......... So i guess because most are different names of different products i am going to have to spend forever going through them so thank you Yola for the extra pain :(

Ok thanks i will contact them with increasing and i hope they dont charge extra as i would be cheaper going else where.

Have you got any other email address i could use?? If not no probs as i know you will be very busy :)

Hi John,

That problem is not so bad truly. if you have a look at those descriptions you will see a lot of duplication throughout similar products. Once again do a summary of their description and then a find and replace.

It really does come with the territory of drop-shippers data I'm afraid but if you look for systematic situations within their data and find it then you can almost invariably use a systematic approach to remedy the issue.

Another example of this is the images. They have provided them as a file. As you say there are 2000 products but the url they give is unsuitable for direct entry to the CSV file upload. The solution though is easy. You once again use the find replace feature and add the storage address to the image details and then it will work.

Drop shipping setup takes time and patience and it's a pain because you're generally dealing with large numbers of items. You have to systemise it to keep sane and it will work John.

As you develop your approach with this please keep a log of what you are doing. The reason being is that your drop-shipper will issue you with a new catalogue periodically and each time you have to go through the same process.

keeping a record means that you won't have to re-invent your system each time.

Many thanks for the advice on everything so far as it really has helped weed out the problems so far 1 by 1 !!

I have sorted the character count in name and this is resolved now.

Now i have another problem as per screen shot i have posted :-(

I can't see other data associated with this record in that screen shot.

The SKU or the Name is required for each record as this is the key index value used by Ecwid to keep track of the records. If this is blank then it can't index the record as each record must have a different index value.
